Before You Request Student Records

Use this form when you need education records beyond a standard transcript, including FERPA requests or requests for multiple types of records such as attendance, discipline, assessment or special education records.

Student records contain information about a student's education and are protected by federal and Colorado privacy laws. Academy District 20 provides access to these records only to individuals and organizations authorized to receive them. Authorization or additional documentation may be required before records can be released.

Student records are different from public records requested through the Colorado Open Records Act (CORA). Visit our Colorado Open Records Act (CORA) page if you are looking for public records that do not pertain to an individual student.

What Are Student Records?

Student education records are records directly related to a student that are maintained by Academy District 20 or on the district's behalf.

Depending on the student and the services they have received, records may include:

  • Enrollment and withdrawal information

  • Attendance records

  • Grades, academic history and coursework

  • Assessment information

  • Discipline records

  • Special education records

  • Records related to programs or educational services

  • Other information maintained as part of the student's education record

Not every student will have every type of record.

Protecting Student Privacy

Student education records are confidential. The Family Educational Rights and Privacy Act (FERPA), Colorado's Student Data Transparency and Security Act and other applicable laws establish requirements for accessing, maintaining and sharing student information.

FERPA generally requires consent before personally identifiable information from a student's education records is disclosed, but the law permits disclosure without consent in certain circumstances. These include some disclosures to another school where a student seeks or intends to enroll.

Parent, Guardian and Student Rights

Parents and guardians generally have the right to inspect and review their student's education records. These rights transfer to the student when the student turns 18 or attends a postsecondary institution and becomes an "eligible student" under FERPA.

Parents and eligible students may also ask the district to correct information in an education record that they believe is inaccurate or misleading. Procedures for challenging or amending a record are governed by FERPA and applicable district policy.

The district may need to verify the identity and authority of the person requesting records before releasing student information.
